Onboarding/Offboarding Procedure

The onboarding checklist is to be used for all new employees to ensure that necessary set-up are available in time for the VA’s start.
The offboarding checklist is to be used for all employees leaving the company to ensure that all assets and other items are handed over on the last day of employent.

Onboarding Checklist Instructions

1. Once the signed employment contract has been returned by the new employee, HR will:
a. notify Angelie and the Team Lead about the new employee;
b. create an onboarding checklist for the employee from the template;
c. upload the checklist to the employee’s file folder; and
d. share ONLY the checklist with the new employeem Admin, and the Team Lead (careful not to share the entire folder to keep the rest of the documents confidential).
2. HR will orient the new employee about the checklist and transfer accountability of the checklist to the new employee.
3. The employee and the rest will carry out the tasks specified in the checklist, update the status, and add comments as needed.
4. The Team Lead will touch base with the employee regularly to check on the progress of the checklist items and ensure timely completion. Admin will check with the TL the status of the checklist towards the end of the employee’s first month and monthly thereafter until completion.
5. The employee will follow up delayed items with the responsible people assigned.
6. Once all items are completed, employee must notify the Team Lead, Admin, and HR.

Offboarding Checklist Instructions

1. Once HR receives the advice to terminate an employee, HR will:
a. notify Payroll about the employee for termination;
b. create an offboarding checklist for the employee from the template;
c. upload the checklist to the employee’s file folder; and
d. share ONLY the checklist with the new employee, HR, Admin, Payroll, and the Team Lead (careful not to share the entire folder to keep the rest of the documents confidential).
2. HR will orient the new employee about the checklist and transfer accountability of the checklist to the employee.

5. Once all items are completed, HR must notify the Team Lead, and HR/Admin/Payroll GC.
6. Once all items are completed, employee must notify the Team Lead, Admin, and HR.
7. Jun will sign once offboarding checklist is accomplished and TL and client clearance have been provided.
